How-to Perform Bulk Import/Export in Decision Focus
This guide describes how to import and export “Software” and “Software Use” lists in Decision Focus.
The detailed steps below show the workflow for “Software Use”, and similar steps are applicable for “Software”. The same approach is valid for software import as well, with the data being updated in the software bulk import template.
Note: Import and export in Decision Focus can be done by the “SW Approver” role in Decision Focus. Kindly reach out to the respective 3rd-party software manager.
Activities
Login and prepare
1. Login and select role
Login to Decision Focus Workspaces.
Select the “IA Process Control Platform” workspace.
Select the role as "SW Approver" from the first icon on the bottom left-hand side of the Decision Focus screen.
2. Bulk import templates
Use one of the templates Bulk Software / SW import, then update the required fields and review before import.
3. Data import
Once the import template is updated and the document is ready to be imported, select “Software Use” under the “Data import” section.
Import for create
1. Choose a file to import
Select the "Choose File" option to import the Excel worksheet and select the exact sheet to be imported from the worksheet.
Once the sheet is selected, all entries available in the template are listed as number of rows to be imported.
2. Import data
Select the “Create” option when importing the “Software Use” list the first time, and set the Status to “New”. Click on “Import Data” in the bottom-right corner.
If the import is successful, Decision Focus will display an “Import Complete”. At this time, all the entries which were created are assigned an ID.
Export data
To export the data (imported in the previous step) from Decision Focus, go back to the “Software Use” under the “SW Handling” section and apply the filter to get the data that needs to be updated. Then export the Excel file by clicking on “Options » Export to Excel” in the upper-right corner of the screen.
During the update process, the data will be updated based on the IDs.
Import for update
1. Choose the file for import
Select the "Choose File" option to import the Excel worksheet and select the sheet where the data has been updated. Select “Update” and choose the ID as shown in the screenshot below to match data between Excel and Decision Focus.
2. Import data
Click on the "Import Data" button and the data of the Software Use IDs will be updated.
Note:
- Any bulk update of data in Decision Focus would happen with some delay based on the number of entries being imported.
- For software import, the procedure remains the same. However, the user has to update the software import template.
- A duplicate software check is currently not possible in bulk import. Hence, anyone who does the import of Software or Software use must thoroughly review data before import.
